Our business credentials and expertise are weighted more towards Solar and Hydrogen, however in these sectors, particularly Hydrogen we are market leaders, would this discount us from a tender process?
No, this will not discount you from the tender process.
Due to the in-frequent nature of CXO placements, our experience is more weighted to c-1/c-2 within the types of companies mentioned in section 3 (high-growth, new companies etc). However, our networks and applicable methodology would deem us suitable for the CXO position experience requested for each value chain, does this meet your criteria?
Yes, it does meet our criteria.
Should all tenders be submitted in word format to ensure they can be included within a final commercial agreement (if applicable), are you open to receiving supplementary brochures relevant to the scope of work?
Offers should be provided as PDF. Supplementary brochures are fine, but all relevant points of the RFP should be covered in the main proposal document.
Between submission and award, will companies be invited to present, pitch their proposal and business services?
No, this is not planned.
To demonstrate, examples of practices and procedure, should example documentation be included in the appendices of this submission?
You may do so, but please keep it concise.
How should we quote the fee as there is a discrepancy on requests – page 6 asks for net amount in EUR and page 8 (award criteria) states the lowest percentage of final selected candidate?
Page 6: this means only that the currency for all quotes must be Euro, and that costs must not include VAT (net amount = excluding VAT). The actual fees should be quoted as a percentage of yearly gross salary of candidates (e.g. 25% of first year gross salary of the successful candidate), as set out on page 8, which is quite common for this kind of service. When evaluating all offers, the proposal with the lowest fee (=lowest percentage of gross salary of candidate) will receive the highest score in this section.
We have not seen any mention of payment terms anywhere in the contract, could you please advise?
Our standard terms of payment are 30 days after receipt of invoice, see also clause 3.3. of the draft contract.
What type of roles / target profiles are expected to be looked for?
The roles will be mainly on executive and board level.
How many roles are likely to be searched by the company who gets the contract assigned? Will it be more around ~10 or ~100 in the next 4 years?
The total number of assignments will depend on the number of vacancies to be filled within the contract period, which cannot be foreseen at this point. There is no guarantee of an assignment, or a minimum number of assignments, in the contract period.
How large are the companies EIT InnoEnergy aims to invest in, e.g., in terms of valuation? At what stage does EIT InnoEnergy typically invest in?
Typically, we invest in (pre-)Seed stage start-ups and scale-ups or NewCo’s.
How will the executive search firm get notified once recruiting support is needed?
In writing by email. For each recruitment we will issue an individual order form (see Annex 2).
What do you mean by stating that the executive search firm will “assess the respective situation [..] and advise on how to proceed”? What is your expectation here?
We expect some industry and sector knowledge. The appointed search firm should be able to judge the specific recruitment such as challenges and possible opportunities, and advise on the best way forward for the entire process. This will include formulating/fine-tuning the job description and a search strategy tailored to the specific case.
Are you planning to award the frame contract to one single firm?
No. As set out in the RfP, we may sign framework contracts with more than one firm, depending on the offers we receive.
If the executive search firm gets notified that support is needed, with what time frame is it itended to start the search? E.g., will there be discussions to specify search need over a period of 2 – 4 weeks and then the search is assigned?
We will usually expect a search to start as soon as possible, the exact timing and requirements will be discussed case by case. Should the search firm not be able to meet the requested timeline (e.g. due to a lack of resources), we may decide to commission another company with the task at hand.
How will recruiting support be assigned to several executive search firms which have contracts in the corresponding years (e.g., overlap of contracts “year 2022-2026” and “year 2023-2027”)?
Per assignment we will choose the expert who is best positioned to complete the task at hand, i.e. focus of expertise, market and availability.
Is an accreditation of team members needed? Do all potential team members need to be mentioned in the LOP or is it fine to mention the team members with core responsibility, allowing to staff teams for respective searches with additional industry expertise?
It is sufficient to mention the team members with core responsibility.
Is there a certain format in which we hand in the LOP (e.g., word, powerpoint as PDF)?
